Instructions: Along the top of the portal, beneath the title “Beneficial Ownership Information Report,” there are 5 tabs/pages which must be completed before the report may be submitted:
Tab 1/ Start Here:
This tab is already checked to complete the Initial Report. If this is your Initial Report, then click “Next” at the bottom of the screen.
If this is not your Initial Report, please choose an option (i.e. correct/update) for report being filed and then click “Next”
Tab 2/ Association Report Info:
The information for the Association must be provided here.
First click the box marked “Request to receive FinCEN Id”. When your report is accepted the Association will receive an identification number.
Second, enter the name of the Association and any alternative name, if any. If there is no D/B/A then move to the next field, which is selecting the “Tax Identification type” to be used.
Choose “EIN” from the drop-down menu and then tab to right to enter the tax-id number.
Then tab to the Jurisdiction and select the country from the drop-down field (i.e. United States of America) and then enter the U.S. Address (physical location/address of Condominium) must be typed in the respective fields provided. Do not use an address that is C/o an agent or property manager. Use a physical address of the property.
Then click “Next”
Tab 3/Existing/New Association:
This field is auto filled with a checked box next to “Association was created prior to January 1, 2024”. If your Association was formed prior to this date, you do not need to fill in any of the fields and can simply proceed and click “Next”.
If the Association was filed after January 1, 2024, then the first box check marked, must be unchecked, and the remainder of the tab fields must be completed with the information requested.
Tab 4/Board Member Reporting Info:
This is where the information for each board member (i.e. name, address, identification number, including an uploaded copy of each board member’s valid identification (i.e. license or passport) is needed.
First, the number of board members (i.e. Trustees) needs to be chosen from the drop-down box which says “1 Board Member” by clicking the arrow. Select the total number of Board Members now serving on the Board.
Second, there is a field labeled “FinCEN ID”. This field does not need to be filled in. If a Board Member already has a FinCEN ID, you can fill the number in this box. If not, then proceed to fill the requested information in for each board member. The residential address provided can be different from the identification address.
Third, under the field labeled “Upload Identifying document image” – there is a “Browse” button where you can click on and upload a copy of the government issued document that is being used. Only front of identification is required, must be in jpg format and less than 4 MG.
Repeat this process for all Board Members.
Once completed click “Next”.
Tab 5/Filer Certification:
The person entering the information for this report must provide their email address, confirmation of the email address, first and last name, and note that such filer is certifying that filer is authorized to make the report, and that the information is true, correct and complete.
If complete, click “Submit BOIR”.
Once completed/submitted the filer will receive (on screen) confirmation of the filing as well as a prompt to download the report. Download from the prompt immediately as the completed report will NOT be emailed to the filer. The prompt is likely the only opportunity to obtain a copy of the completed/filed report (it will not be emailed to the Association or filer).
